Committee Responsibility
The purpose of this list is to help members decide what committees to volunteer for. Each member is expected to serve on at least one committee.
ADMINISTRATION
Club Biographies: Keeps the club directory current. Publishes it to the web site on an ongoing basis.
Membership: Responsible for building a solid base of new members each year and integrating them into the club by:
- Encouraging current Rotarians to propose good candidates for membership.
- Providing information on Rotary to prospective new members
- Preparing a biography on new candidates.
- Orienting candidates.
- Integrating new members; helping them fulfill their Blue Badge requirements
CLUB OPERATIONS
Cashier: Handles lunch sales at meetings and coordinates schedule for other new members to assist.
Greeters: Greets members and visitors before meetings
Set-up/Sergeant at Arms: Sets up the meeting room and secures room after the meeting. Handles requirements for audio visuals and microphones. Collects and accounts for fines.
Web Page/Digital Futures: Overall responsibility for the web page and interfacing with the Club Wizard, the design vendor and hosting facility. Maintains the web page and makes certain that information is updated as necessary
CLUB SERVICE
Big Game Club Exchange: Handles the annual Big Game Exchange with Berkeley Rotary. Plans the program when we travel to Berkeley.
Opening Remarks: coordinates the 2 to 3 minute member remarks at each meeting’s opening.
Program: Responsible for making sure we have outstanding speakers at each meeting, and that they are properly met and introduced by a member. Sends thank you notes.
Social Events: Plans and assures that the club has two to four social events per year. Recruits volunteers as needed to assist.
We Care: Coordinates the Club’s response in the event of serious illness, difficult circumstances or a member’s death. Is responsible for membership retention.
COMMUNITY SERVICE AND COMMUNICATIONS
Boy Scouts: Coordinates our sponsorship of Boy Scout troops
Hands On-Sleeves Up: Plans and directs our community involvement activities – usually one major activity and possibly several smaller activities
Pinion: Assures that a Pinion is issued after each meeting. This includes recruiting Pinion writers, taking photos at the meeting and editing the documents in Page Maker.
Publicity: Obtains media coverage for events and accomplishments that are of interest to the wider community (including newsworthy speakers).
COMMUNITY SERVICE AND GIFTS
Charitable gifts: Solicits, evaluates and makes recommendation to the Board for our charitable community grants.
Vocational Scholarships: Publicizes scholarship opportunities, evaluates and interviews candidates, and awards vocational scholarships for local community colleges according to our yearly budget.
Urban Ministry: Feeds the homeless on a monthly basis
English in Action at Stanford: Tutors Stanford graduate students and/or spouse in English as a second language
INTERNATIONAL SERVICE
Ambassadorial Scholarships:
- Outgoing: Solicits and evaluates applications for international scholarships awarded by Rotary International
- Incoming: Assists and mentors recipients coming to our area
Friendship Exchange: Organizes and encourages exchange visits with Rotarians from other clubs. Usually involves staying in homes of Rotarians.
Group Study Exchange:
- Outgoing: Solicits applications and recommends candidates for Rotary’s Group Exchange program with Districts abroad.
- Incoming: Arranges host families, company visits and programs for visiting teams.
International Hands On-Sleeves Up: Plans and directs annual international community involvement activity. Organizes group travel to work on project.
World Community Service Projects: Selects and monitors our participation in international community service projects. Applies for matching grants from the Rotary Foundation and coordinates potential projects with other clubs.
Vocational and Youth
Camp RYLA: Selects campers to the Rotary Youth Leadership Training Camp held each spring
Interact: Assists students at Gunn High School to plan and implement service activities.
Rotaract: Maintains our Club liaison with the local Rotaract Club
Vocational Services: Arranges various vocational activities with the students at Cesar Chavez School, including vocational shadowing, Rotarian talks, and coordination with Junior Achievement (when available).
Vocational Visits: Arranges membership visits to Rotarian businesses or other community areas of interest.
Youth Community Service: Supports community activities of YCS clubs in local middle and high schools.
ANNUAL FUND RAISER: Organizes and implements the Club’s major fund raiser - the source of the bulk of our community and international charitable donations.
- Overall Planning:Event planning, Selection of the place and menu and management of the overall fund raiser effort
- Ticket Sales: Publicity and ticket sales to our Club and other Club’s and individuals in the area
- Corporate Underwriting: Solicitation of Corporate and individual grants
- Auction Items: Solicitation and qualification of auction items
- Program: Responsible to compose and publish auction program listing all auction items and other pertinent info.
- Signs and set up: Responsible for making all signs for the auction items and tables as well as setting up the signs and auction items at the fund raiser.
- Table and other decorations: Responsible for table and other decorations at the fund raiser.
- Financial: Responsible for organizing and implementing efficient collection of auction item payments including arranging for credit card payments and overall accountability.
